CRM software pricing compared — every tier, every hidden fee

Per-seat price is misleading because contact tiers, marketing-contact ladders, and edition gating routinely double the bill.

About CRM software

Customer relationship management is the SaaS category where per-seat price is the smallest part of the bill. Contact tiers, marketing-contact ladders, premium support, sandboxes, API call ceilings, and the gap between Professional and Enterprise editions usually dwarf the headline seat cost. The CRM vendors we track use four different pricing models: per-seat (Salesforce Sales Cloud, Pipedrive), per-hub with overlapping bundles (HubSpot), unified Customer 360 (Salesforce Industries), and contact-volume tiered (Keap, ActiveCampaign-as-CRM). Each model rewards a different buying motion. Per-seat CRMs reward teams that can predict headcount; per-hub CRMs reward teams that can credibly commit to one hub now and skip the others; unified suites reward teams that already use the rest of the vendor's stack. The pricing pages below show every paid tier with the contact ladder and seat-minimum baked in, so the per-tool number you see is the real number you would pay for your seat count at your contact volume, not the marketing-website number.

Frequently asked questions

What does CRM software typically cost per seat?

On the cheapest paid per-seat tier across the CRMs we track, list price ranges from about 14 USD per seat per month (Pipedrive Essential) to 65 USD per seat per month (HubSpot Sales Hub Starter on a per-seat basis after the included seats) on annual billing. Enterprise editions of Salesforce, HubSpot, and Microsoft Dynamics 365 start at 165 USD per seat per month and routinely exceed 300 USD per seat per month once required add-ons (Sandbox, CPQ, Einstein, premier support) are included.

Is HubSpot or Salesforce cheaper for a 20-person team?

On list and on the cheapest viable per-seat configuration, HubSpot Sales Hub Professional is cheaper than Salesforce Sales Cloud Professional at 20 seats by roughly 35 percent on annual billing. The picture flips above 50 seats, where Salesforce's volume discount on Sales Cloud Enterprise typically lands inside HubSpot's Enterprise edition price. The vendor pricing pages below show the per-seat math for both at every common seat count.

When do CRM contact-tier overages start to bite?

The two contact-driven ladders to watch are HubSpot's marketing-contacts model (where the price jumps every 1,000 contacts beyond the included pool) and Keap / ActiveCampaign's contact-tier pricing (which steps up at 500, 1,000, 2,500, 5,000, 10,000, 25,000). Both ladders compound faster than per-seat cost above 10,000 contacts; many teams find that the contact bill is double the seat bill by 25,000 contacts.
