What Smartsheet costs over 36 months

Every figure below is Smartsheet's own published rate, annualised and multiplied out over 36 months at 10 users. Where Smartsheet publishes no rate, the row says so instead of guessing.

Plan Charged List rate At 10 users 36 months
Pro Per user, per month $9/mo $90/mo $3,240
Business Per user, per month $19/mo $190/mo $6,840
Enterprise Per user, per month Custom quote, not published n/a Custom quote, not published

Billing Smartsheet monthly instead of annually costs $120 a month rather than $90, a difference of $1,080 across the 36 months. That is the single largest lever on this page that costs nothing to pull.

The same plan at four team sizes

Smartsheet charges per user, so the 36-month figure scales linearly with headcount. These are Pro totals, on annual billing, with no fees added.

Team size36-month total
5 users $1,620
10 users $3,240
25 users $8,100
50 users $16,200

1 tier is sales-led (Enterprise), so it carries no figure here.

Renewal sensitivity: three scenarios, not a forecast

Nobody knows what Smartsheet charges in 2029. The table below is arithmetic on a rate you choose, not a prediction: it compounds the year-one total forward at 0%, 5% and 10% so you can see how much of the 36-month figure is exposed to a renewal you have not negotiated yet.

If the rateYear 1Year 2Year 3Three-year total
Held flat $1,080 $1,080 $1,080 $3,240
5% a year $1,080 $1,134 $1,190.70 $3,404.70
10% a year $1,080 $1,188 $1,306.80 $3,574.80

Each line, what triggers it, and how to avoid it

Paid add-on or module

Stated on the pricing page: Dynamic View add-on starts at $125/month.

What triggers it. Fires on adoption, not on signature. Smartsheet prices the platform at $90 a month for 10 users and the pieces separately, which is why quoted comparisons between tools so rarely describe the same scope.

How to avoid it. Bundle the add-ons into the initial negotiation. They are discounted far more readily at first signature than when added in year two as a mid-term upsell.

Paid add-on or module

Stated on the pricing page: Data Shuttle add-on starts at $100/month.

What triggers it. A separately-priced module. It stacks on top of the plan rate for as long as you keep it, and on a per-unit add-on it also scales with the 10 users basis.

How to avoid it. Build the shortlist at like-for-like scope. Price Smartsheet with the add-ons you actually need against rivals with theirs, or the $3,240 comparison is measuring different products.

Paid add-on or module

Stated on the pricing page: Control Center, Bridge, and DataMesh are priced separately.

What triggers it. Triggered by needing the capability, and then charged every cycle afterwards. Add-ons attach to the Pro subscription permanently, so this is a recurring line the $3,240 figure does not contain.

How to avoid it. Review attached add-ons at each anniversary. Modules bought for one project keep billing long after the project ends.

Contract and commitment terms

Derived from the published tiers: Smartsheet Pro is $120 a month billed monthly against $90 on annual commitment, a $1,080 difference over 36 months at 10 users.

What triggers it. Contract mechanics rather than a fee. They decide whether the $3,240 total is locked, and how expensive changing your mind in month 14 turns out to be.

How to avoid it. Price both routes before choosing. Committing three years to Smartsheet for a discount is only rational if your project management requirement is genuinely stable that long.

Unpublished pricing

Derived from the published tiers: 1 of 3 Smartsheet tiers publish no price (Enterprise). No total on this page includes them.

What triggers it. Opacity rather than expense. It may cost nothing; the point is that neither you nor this page can currently tell, and a three-year commitment deserves better than that.

How to avoid it. Benchmark it against a rival that does publish. Public pricing is bargaining power, and project management has enough transparent vendors to make the comparison real.

Feature gated to a higher tier

Derived from the published tiers: Moving from Pro to Business costs a further $3,600 over 36 months at 10 users, which is 2.1x the entry total.

What triggers it. Fires when a requirement lands that Pro does not cover. The jump is rarely proportional: you pay the higher tier across the whole 10 users basis to unlock one capability.

How to avoid it. List every gated capability you will plausibly need in three years, then price Smartsheet at that tier from the start. Comparing entry tiers you will not stay on is how a $3,240 plan becomes a much larger invoice.

Seat expansion

Derived from the published tiers: Five more users on Pro add $1,620 across 36 months, on top of the $3,240 above.

What triggers it. Growth is the trigger. Because Smartsheet bills on a per-user work-management with paid add-ons, adding people mid-term adds cost on the original rate card, not on whatever you negotiated once.

How to avoid it. Get expansion pricing fixed in the order form for the full term. Without it, seats added in month 20 are quoted at list.

How that compares across project management software

The median project management software tool we track charges $9 a month at its cheapest paid tier. Re-expressed on the same basis as the figure above, 10 users for 36 months, that median works out at $3,240.

Smartsheet lands $0 below that figure, 0.0%, measured across 30 tracked tools. A gap either way is a question, not a verdict: cheaper often means fewer included seats or a thinner support tier, and the fee lines below are where that difference usually reappears.

What changes at enterprise scale

Everything above prices the self-serve ladder. Enterprise sits off that ladder, which means the $3,240 figure is a floor for a large deployment rather than an estimate of one.

Enterprise unlocks AI formulas, portfolios, and advanced security with custom pricing for 10+ users.

Frequently asked questions

How much does Smartsheet cost over three years?

$3,240 on Pro at 10 users, billed annually, which is $90 a month held flat for 36 months. That figure covers the subscription only.

Does paying Smartsheet annually save money?

Yes. Monthly billing costs $120 a month against $90 on annual commitment, a difference of $1,080 over 36 months at 10 users.

What does Smartsheet charge for outside the plan price?

7 lines: paid add-on or module, paid add-on or module, paid add-on or module, contract and commitment terms and 3 more. Each one is broken down above with what triggers it and how to avoid it.

Could Smartsheet cost more at renewal?

Possibly, and nothing on this page predicts it. If the rate held flat the three-year total would be $3,240; at a hypothetical 10% a year it would be $3,574.80. Cap the uplift in the contract and the question stops mattering.

What does Smartsheet cost for a team of 25?

$8,100 over 36 months on Pro, billed annually. Smartsheet charges per user, so that scales directly with headcount.
