What Retool costs over 36 months

Every figure below is Retool's own published rate, annualised and multiplied out over 36 months at 10 builders. Where Retool publishes no rate, the row says so instead of guessing.

Plan Charged List rate At 10 builders 36 months
Free Free $0 $0/mo $0
Team Per builder, per month $7.20/mo $72/mo $2,592
Business Per builder, per month $36.80/mo $368/mo $13,248
Enterprise Per user, per month Custom quote, not published n/a Custom quote, not published

Billing Retool monthly instead of annually costs $90 a month rather than $72, a difference of $648 across the 36 months. That is the single largest lever on this page that costs nothing to pull.

The same plan at four team sizes

Retool charges per builder, so the 36-month figure scales linearly with headcount. These are Team totals, on annual billing, with no fees added.

Team size36-month total
5 builders $1,296
10 builders $2,592
25 builders $6,480
50 builders $12,960

1 tier is sales-led (Enterprise), so it carries no figure here.

Renewal sensitivity: three scenarios, not a forecast

Nobody knows what Retool charges in 2029. The table below is arithmetic on a rate you choose, not a prediction: it compounds the year-one total forward at 0%, 5% and 10% so you can see how much of the 36-month figure is exposed to a renewal you have not negotiated yet.

If the rateYear 1Year 2Year 3Three-year total
Held flat $864 $864 $864 $2,592
5% a year $864 $907.20 $952.56 $2,723.76
10% a year $864 $950.40 $1,045.44 $2,859.84

Scenario arithmetic on Retool's own published year-one figure. Uplift rates are illustrative inputs, not observed or predicted rates.

Each line, what triggers it, and how to avoid it

Usage and overage

Stated on the pricing page: Extra workflow runs at $75 per 5,000 above included caps.

What triggers it. Fires when consumption crosses the included limit. This is the line that decouples your Retool bill from your headcount, and it can grow while your team does not.

How to avoid it. Ask Retool for hard caps or alerting rather than silent overage billing. A limit that stops work is recoverable; an invoice you did not authorise is not.

Paid add-on or module

Stated on the pricing page: External users billed separately from $3.60-$7.33 each.

What triggers it. Triggered by needing the capability, and then charged every cycle afterwards. Add-ons attach to the Team subscription permanently, so this is a recurring line the $2,592 figure does not contain.

How to avoid it. Review attached add-ons at each anniversary. Modules bought for one project keep billing long after the project ends.

Tax, FX and payment processing

Stated on the pricing page: Prices displayed in EUR without USD conversion.

What triggers it. A charge Retool collects but does not set. It moves with your billing entity and your card, which is why two teams on the same Team plan can see different totals.

How to avoid it. You cannot avoid tax, but you can stop it surprising you: get the quote grossed up before it goes into the $2,592 business case. Where card fees apply, ask Retool for invoice-and-bank-transfer terms instead.

Contract and commitment terms

Derived from the published tiers: Retool Team is $90 a month billed monthly against $72 on annual commitment, a $648 difference over 36 months at 10 builders.

What triggers it. Contract mechanics rather than a fee. They decide whether the $2,592 total is locked, and how expensive changing your mind in month 14 turns out to be.

How to avoid it. Read the auto-renewal and notice terms before the discount. A good rate on a contract you cannot leave is a worse deal than a fair rate on one you can.

Unpublished pricing

Derived from the published tiers: 1 of 4 Retool tiers publish no price (Enterprise). No total on this page includes them.

What triggers it. Triggered by nothing you do. This is simply a number Retool does not publish. Every unpublished component is a hole in the $2,592 figure, which is built only from rates the vendor states.

How to avoid it. Ask for it in writing, itemised, before shortlisting. A vendor that will not put a number on a component at evaluation stage rarely gets more forthcoming after signature.

Trial and free-tier conversion

Derived from the published tiers: Retool publishes a free tier. Every 36-month figure above starts from the month you leave it, not from signup.

What triggers it. Triggered by the trial expiring or a free-tier limit being crossed. The $2,592 figure above starts counting from that moment, not from signature.

How to avoid it. Diarise the conversion date and the cancellation route on day one. An unmanaged trial converting to Team is the cheapest mistake on this page to prevent and the most common one to make.

Feature gated to a higher tier

Derived from the published tiers: Moving from Team to Business costs a further $10,656 over 36 months at 10 builders, which is 5.1x the entry total.

What triggers it. Triggered by needing one feature, not by growing. This is the mechanism that moves teams off Team: a single requirement that only exists further up the ladder, at a rate that applies to every unit you buy.

How to avoid it. Test the gated feature during evaluation rather than trusting the comparison table. Capability names travel further than capabilities do.

Seat expansion

Derived from the published tiers: Five more builders on Team add $1,296 across 36 months, on top of the $2,592 above.

What triggers it. Growth is the trigger. Because Retool bills on a per-builder and per-internal-user, adding people mid-term adds cost on the original rate card, not on whatever you negotiated once.

How to avoid it. Get expansion pricing fixed in the order form for the full term. Without it, seats added in month 20 are quoted at list.

How that compares across project management software

The median project management software tool we track charges $9 a month at its cheapest paid tier. Re-expressed on the same basis as the figure above, 10 builders for 36 months, that median works out at $3,240.

Retool lands $648 below that figure, 20.0%, measured across 30 tracked tools. A gap either way is a question, not a verdict: cheaper often means fewer included seats or a thinner support tier, and the fee lines below are where that difference usually reappears.

What changes at enterprise scale

Everything above prices the self-serve ladder. Enterprise sits off that ladder, which means the $2,592 figure is a floor for a large deployment rather than an estimate of one.

Enterprise plan adds SAML SSO, source control, custom branding, and a dedicated CSM.

Frequently asked questions

How much does Retool cost over three years?

$2,592 on Team at 10 builders, billed annually, which is $72 a month held flat for 36 months. That figure covers the subscription only.

Does paying Retool annually save money?

Yes. Monthly billing costs $90 a month against $72 on annual commitment, a difference of $648 over 36 months at 10 builders.

What does Retool charge for outside the plan price?

8 lines: usage and overage, paid add-on or module, tax, fx and payment processing, contract and commitment terms and 4 more. Each one is broken down above with what triggers it and how to avoid it.

Could Retool cost more at renewal?

Possibly, and nothing on this page predicts it. If the rate held flat the three-year total would be $2,592; at a hypothetical 10% a year it would be $2,859.84. Cap the uplift in the contract and the question stops mattering.

What does Retool cost for a team of 25?

$6,480 over 36 months on Team, billed annually. Retool charges per builder, so that scales directly with headcount.
