Navan true cost: the 36-month total
Navan costs $5,400 over 36 months on Expense at 10 users, billed annually, before 5 cost lines that sit outside the plan price.
What Navan costs over 36 months
Every figure below is Navan's own published rate, annualised and multiplied out over 36 months at 10 users. Where Navan publishes no rate, the row says so instead of guessing.
The same plan at four team sizes
Navan charges per user, so the 36-month figure scales linearly with headcount. These are Expense totals, on annual billing, with no fees added.
Renewal sensitivity: three scenarios, not a forecast
Nobody knows what Navan charges in 2029. The table below is arithmetic on a rate you choose, not a prediction: it compounds the year-one total forward at 0%, 5% and 10% so you can see how much of the 36-month figure is exposed to a renewal you have not negotiated yet.
Scenario arithmetic on Navan's own published year-one figure. Uplift rates are illustrative inputs, not observed or predicted rates.
What sits outside the Navan list price
5 lines, sorted by when in the contract lifecycle they land. Lines marked as derived are arithmetic on Navan's own tier table rather than vendor prose.
Each line, what triggers it, and how to avoid it
Third-party pass-through
Stated on the pricing page: Hotel and flight commissions baked into supplier rates
What triggers it. A pass-through cost, which means it is real spend that never appears in the Expense plan price and never will.
How to avoid it. Find out whether you can contract with the underlying provider directly. At volume that is often cheaper than paying Navan's relayed rate.
Tax, FX and payment processing
Stated on the pricing page: FX markup on multi-currency card spend
What triggers it. This lands on the invoice, not the price page. Navan quotes $150 a month for 10 users net of it, so the number you approve in a business case and the number finance pays reconcile only after tax and card handling are added.
How to avoid it. You cannot avoid tax, but you can stop it surprising you: get the quote grossed up before it goes into the $5,400 business case. Where card fees apply, ask Navan for invoice-and-bank-transfer terms instead.
Onboarding and implementation
Stated on the pricing page: Implementation fees for larger rollouts
What triggers it. Fires at signature. It is the most negotiable line on this page precisely because it is a one-off the vendor books as services revenue, not recurring revenue.
How to avoid it. Check whether a partner or your own team can do the same work. Configuration you can do yourself is rarely worth vendor day-rates.
Trial and free-tier conversion
Derived from the published tiers: Navan publishes a free tier. Every 36-month figure above starts from the month you leave it, not from signup.
What triggers it. Triggered by the trial expiring or a free-tier limit being crossed. The $5,400 figure above starts counting from that moment, not from signature.
How to avoid it. Ask for the trial to be extended to cover a full billing cycle of real use. Vendors grant this far more often than buyers ask.
Seat expansion
Derived from the published tiers: Five more users on Expense add $2,700 across 36 months, on top of the $5,400 above.
What triggers it. Fires when the team grows or splits into differently-priced groups. Mixed entitlements are how a single-rate assumption stops describing your invoice.
How to avoid it. Price your year-three headcount now, not today's. Negotiating the $5,400 commitment at the size you expect to be is how you avoid buying seats twice.
How that compares across accounting, ap automation, and corporate finance
The median accounting, ap automation, and corporate finance tool we track charges $16 a month at its cheapest paid tier. Re-expressed on the same basis as the figure above, 10 users for 36 months, that median works out at $5,760.
Navan lands $360 below that figure, 6.3%, measured across 19 tracked tools. A gap either way is a question, not a verdict: cheaper often means fewer included seats or a thinner support tier, and the fee lines below are where that difference usually reappears.
What changes at enterprise scale
Everything above prices the self-serve ladder. Enterprise sits off that ladder, which means the $5,400 figure is a floor for a large deployment rather than an estimate of one.
Enterprise tier adds dedicated account team, unlimited users, and custom integrations.
Frequently asked questions
How much does Navan cost over three years?
$5,400 on Expense at 10 users, billed annually, which is $150 a month held flat for 36 months. That figure covers the subscription only.
Does paying Navan annually save money?
Navan publishes the same effective rate either way on Expense, so there is no prepay discount to capture. Keep the monthly option unless the vendor offers something for the commitment.
What does Navan charge for outside the plan price?
5 lines: third-party pass-through, tax, fx and payment processing, onboarding and implementation, trial and free-tier conversion and 1 more. Each one is broken down above with what triggers it and how to avoid it.
Could Navan cost more at renewal?
Possibly, and nothing on this page predicts it. If the rate held flat the three-year total would be $5,400; at a hypothetical 10% a year it would be $5,958. Cap the uplift in the contract and the question stops mattering.
What does Navan cost for a team of 25?
$13,500 over 36 months on Expense, billed annually. Navan charges per user, so that scales directly with headcount.
