Worked example
A 120-person company runs 80 active AI seats: 60 ChatGPT Team at $25 per seat, 20 GitHub Copilot at $19 per seat, plus $400 per month in OpenAI API spend for an internal RAG bot. Total monthly AI spend: 60 times 25 plus 20 times 19 plus 400, which is $2,280.
Per employee, per month: $2,280 divided by 120, or $19. Per employee, per year: $228. Adoption rate: 80 divided by 120, or 67 percent. The benchmark is $80 to $160 per employee per month for knowledge-worker teams; this company is well below average, suggesting either room to add seats or under-tracked subscriptions sitting on team credit cards.
How this calculator works
The calculator sums the seat-based AI subscriptions (count times monthly per-seat price) and adds any usage-based spend (API tokens, agent runs). That sum divided by total employees gives the per-employee monthly cost. Multiply by twelve for annual. Adoption rate is just AI seats divided by total employees, useful when finance wants to know whether spend is concentrated in one team or spread across the org.
The model deliberately does not separate per-vendor or per-department spend; it is intended as a top-line stack-audit number. For a deeper view, run the calculator once per department and compare results. The model also excludes free tier usage because it does not show up in invoices and is hard to assign to an individual.
