Expensify true cost: the 36-month total
Expensify costs $3,600 over 36 months on Collect at 10 users, billed annually, before 5 cost lines that sit outside the plan price.
What Expensify costs over 36 months
Every figure below is Expensify's own published rate, annualised and multiplied out over 36 months at 10 users. Where Expensify publishes no rate, the row says so instead of guessing.
Billing Expensify monthly instead of annually costs $200 a month rather than $100, a difference of $3,600 across the 36 months. That is the single largest lever on this page that costs nothing to pull.
The same plan at four team sizes
Expensify charges per user, so the 36-month figure scales linearly with headcount. These are Collect totals, on annual billing, with no fees added.
Renewal sensitivity: three scenarios, not a forecast
Nobody knows what Expensify charges in 2029. The table below is arithmetic on a rate you choose, not a prediction: it compounds the year-one total forward at 0%, 5% and 10% so you can see how much of the 36-month figure is exposed to a renewal you have not negotiated yet.
Scenario arithmetic on Expensify's own published year-one figure. Uplift rates are illustrative inputs, not observed or predicted rates.
What sits outside the Expensify list price
5 lines, sorted by when in the contract lifecycle they land. Lines marked as derived are arithmetic on Expensify's own tier table rather than vendor prose.
Each line, what triggers it, and how to avoid it
Contract and commitment terms
Stated on the pricing page: Discounts conditional on adopting Expensify Card spend
What triggers it. Contract mechanics rather than a fee. They decide whether the $3,600 total is locked, and how expensive changing your mind in month 14 turns out to be.
How to avoid it. Price both routes before choosing. Committing three years to Expensify for a discount is only rational if your expense management requirement is genuinely stable that long.
Tax, FX and payment processing
Stated on the pricing page: Foreign exchange fees on international reimbursements
What triggers it. Triggered by where you buy from and how you pay. Expensify's published per-user expense reporting with card and bill features sets the list rate; jurisdiction and payment rail set what sits on top of it.
How to avoid it. Ask for a tax-inclusive quote in your own currency. Cross-border billing on a three-year term is where FX drift quietly eats a discount you negotiated once.
Usage and overage
Stated on the pricing page: Per-bill fees on legacy Bill Pay if not on Control
What triggers it. Triggered by volume, which nobody forecasts well. The Collect plan includes an allowance; everything past it is priced separately and does not appear anywhere in the $3,600 subscription total.
How to avoid it. Ask Expensify for hard caps or alerting rather than silent overage billing. A limit that stops work is recoverable; an invoice you did not authorise is not.
Feature gated to a higher tier
Derived from the published tiers: Moving from Collect to Control costs a further $2,880 over 36 months at 10 users, which is 1.8x the entry total.
What triggers it. Fires when a requirement lands that Collect does not cover. The jump is rarely proportional: you pay the higher tier across the whole 10 users basis to unlock one capability.
How to avoid it. Test the gated feature during evaluation rather than trusting the comparison table. Capability names travel further than capabilities do.
Seat expansion
Derived from the published tiers: Five more users on Collect add $1,800 across 36 months, on top of the $3,600 above.
What triggers it. Fires when the team grows or splits into differently-priced groups. Mixed entitlements are how a single-rate assumption stops describing your invoice.
How to avoid it. Price your year-three headcount now, not today's. Negotiating the $3,600 commitment at the size you expect to be is how you avoid buying seats twice.
How that compares across accounting, ap automation, and corporate finance
The median accounting, ap automation, and corporate finance tool we track charges $16 a month at its cheapest paid tier. Re-expressed on the same basis as the figure above, 10 users for 36 months, that median works out at $5,760.
Expensify lands $2,160 below that figure, 37.5%, measured across 19 tracked tools. A gap either way is a question, not a verdict: cheaper often means fewer included seats or a thinner support tier, and the fee lines below are where that difference usually reappears.
What changes at enterprise scale
Everything above prices the self-serve ladder. Enterprise sits off that ladder, which means the $3,600 figure is a floor for a large deployment rather than an estimate of one.
Enterprise contracts negotiate volume discounts; SSO and SAML require Control tier.
Frequently asked questions
How much does Expensify cost over three years?
$3,600 on Collect at 10 users, billed annually, which is $100 a month held flat for 36 months. That figure covers the subscription only.
Does paying Expensify annually save money?
Yes. Monthly billing costs $200 a month against $100 on annual commitment, a difference of $3,600 over 36 months at 10 users.
What does Expensify charge for outside the plan price?
5 lines: contract and commitment terms, tax, fx and payment processing, usage and overage, feature gated to a higher tier and 1 more. Each one is broken down above with what triggers it and how to avoid it.
Could Expensify cost more at renewal?
Possibly, and nothing on this page predicts it. If the rate held flat the three-year total would be $3,600; at a hypothetical 10% a year it would be $3,972. Cap the uplift in the contract and the question stops mattering.
What does Expensify cost for a team of 25?
$9,000 over 36 months on Collect, billed annually. Expensify charges per user, so that scales directly with headcount.
