What Calendly costs over 36 months

Every figure below is Calendly's own published rate, annualised and multiplied out over 36 months at 10 seats. Where Calendly publishes no rate, the row says so instead of guessing.

Plan Charged List rate At 10 seats 36 months
Free Free $0 $0/mo $0
Standard Per seat, per month $10/mo $100/mo $3,600
Teams Per seat, per month $16/mo $160/mo $5,760
Enterprise Sales-led Custom quote, not published n/a Custom quote, not published

Billing Calendly monthly instead of annually costs $120 a month rather than $100, a difference of $720 across the 36 months. That is the single largest lever on this page that costs nothing to pull.

The same plan at four team sizes

Calendly charges per seat, so the 36-month figure scales linearly with headcount. These are Standard totals, on annual billing, with no fees added.

Team size36-month total
5 seats $1,800
10 seats $3,600
25 seats $9,000
50 seats $18,000

1 tier is sales-led (Enterprise), so it carries no figure here.

Renewal sensitivity: three scenarios, not a forecast

Nobody knows what Calendly charges in 2029. The table below is arithmetic on a rate you choose, not a prediction: it compounds the year-one total forward at 0%, 5% and 10% so you can see how much of the 36-month figure is exposed to a renewal you have not negotiated yet.

If the rateYear 1Year 2Year 3Three-year total
Held flat $1,200 $1,200 $1,200 $3,600
5% a year $1,200 $1,260 $1,323 $3,783
10% a year $1,200 $1,320 $1,452 $3,972

Scenario arithmetic on Calendly's own published year-one figure. Uplift rates are illustrative inputs, not observed or predicted rates.

Each line, what triggers it, and how to avoid it

Minimum spend or platform fee

Stated on the pricing page: Enterprise annual minimums, routing needs, Salesforce integration, and invoice billing thresholds matter.

What triggers it. Fires regardless of use. A minimum means your effective rate is only $100 a month for 10 seats once you are large enough to clear it. Below that threshold you pay for capacity you are not consuming.

How to avoid it. Negotiate a ramp. Vendors will often phase a minimum across year one rather than lose a growing account on day-one affordability.

Contract and commitment terms

Derived from the published tiers: Calendly Standard is $120 a month billed monthly against $100 on annual commitment, a $720 difference over 36 months at 10 seats.

What triggers it. Triggered at signature. The $100 a month for 10 seats rate is conditional on the commitment. Take the flexible route and the headline price is not the price you get.

How to avoid it. Read the auto-renewal and notice terms before the discount. A good rate on a contract you cannot leave is a worse deal than a fair rate on one you can.

Unpublished pricing

Derived from the published tiers: 1 of 4 Calendly tiers publish no price (Enterprise). No total on this page includes them.

What triggers it. Opacity rather than expense. It may cost nothing; the point is that neither you nor this page can currently tell, and a three-year commitment deserves better than that.

How to avoid it. Benchmark it against a rival that does publish. Public pricing is bargaining power, and scheduling has enough transparent vendors to make the comparison real.

Trial and free-tier conversion

Derived from the published tiers: Calendly publishes a free tier. Every 36-month figure above starts from the month you leave it, not from signup.

What triggers it. Fires when free stops being free. Worth mapping precisely, because free-tier limits are where scheduling tools do most of their upgrade engineering.

How to avoid it. Diarise the conversion date and the cancellation route on day one. An unmanaged trial converting to Standard is the cheapest mistake on this page to prevent and the most common one to make.

Feature gated to a higher tier

Derived from the published tiers: Moving from Standard to Teams costs a further $2,160 over 36 months at 10 seats, which is 1.6x the entry total.

What triggers it. Fires when a requirement lands that Standard does not cover. The jump is rarely proportional: you pay the higher tier across the whole 10 seats basis to unlock one capability.

How to avoid it. List every gated capability you will plausibly need in three years, then price Calendly at that tier from the start. Comparing entry tiers you will not stay on is how a $3,600 plan becomes a much larger invoice.

Seat expansion

Derived from the published tiers: Five more seats on Standard add $1,800 across 36 months, on top of the $3,600 above.

What triggers it. Triggered by hiring. Every figure above is priced at 10 seats; this line is what each unit past that costs, and it compounds for the remainder of the term rather than the remainder of the month.

How to avoid it. Get expansion pricing fixed in the order form for the full term. Without it, seats added in month 20 are quoted at list.

How that compares across scheduling and appointment booking

The median scheduling and appointment booking tool we track charges $12 a month at its cheapest paid tier. Re-expressed on the same basis as the figure above, 10 seats for 36 months, that median works out at $4,320.

Calendly lands $720 below that figure, 16.7%, measured across 7 tracked tools. A gap either way is a question, not a verdict: cheaper often means fewer included seats or a thinner support tier, and the fee lines below are where that difference usually reappears.

What changes at enterprise scale

Everything above prices the self-serve ladder. Enterprise sits off that ladder, which means the $3,600 figure is a floor for a large deployment rather than an estimate of one.

Teams is the main self-serve benchmark; Enterprise needs quote validation.

Frequently asked questions

How much does Calendly cost over three years?

$3,600 on Standard at 10 seats, billed annually, which is $100 a month held flat for 36 months. That figure covers the subscription only.

Does paying Calendly annually save money?

Yes. Monthly billing costs $120 a month against $100 on annual commitment, a difference of $720 over 36 months at 10 seats.

What does Calendly charge for outside the plan price?

6 lines: minimum spend or platform fee, contract and commitment terms, unpublished pricing, trial and free-tier conversion and 2 more. Each one is broken down above with what triggers it and how to avoid it.

Could Calendly cost more at renewal?

Possibly, and nothing on this page predicts it. If the rate held flat the three-year total would be $3,600; at a hypothetical 10% a year it would be $3,972. Cap the uplift in the contract and the question stops mattering.

What does Calendly cost for a team of 25?

$9,000 over 36 months on Standard, billed annually. Calendly charges per seat, so that scales directly with headcount.
