How to avoid it. Build the shortlist at like-for-like scope. Price Basecamp with the add-ons you actually need against rivals with theirs, or the $5,400 comparison is measuring different products.
Paid add-on or module

What triggers it. Triggered by needing the capability, and then charged every cycle afterwards. Add-ons attach to the Plus subscription permanently, so this is a recurring line the $5,400 figure does not contain.
How to avoid it. Review attached add-ons at each anniversary. Modules bought for one project keep billing long after the project ends.
Infrastructure and hosting
Stated on the pricing page: Storage beyond plan limits is $50/month per terabyte.
What triggers it. Triggered by data volume and deployment shape. Choosing self-hosted or a dedicated region moves this from a rounding error to a material share of the term cost.
How to avoid it. If a self-hosted option exists, price your own infrastructure and staff time against Basecamp's hosted rate honestly. Self-hosting moves cost, it rarely removes it.
Trial and free-tier conversion

What triggers it. Fires when free stops being free. Worth mapping precisely, because free-tier limits are where project management tools do most of their upgrade engineering.
How to avoid it. Ask for the trial to be extended to cover a full billing cycle of real use. Vendors grant this far more often than buyers ask.
